Overview

Scheduling a remote support session often requires several emails between the engineer and the customer. The customer suggests a few times, the engineer checks their calendar, availability changes, and the conversation starts again.

Time Master simplifies this process by allowing an engineer to generate a unique Microsoft 365 booking link for a specific support ticket. The customer sees only the appointment times deliberately offered by the engineer. They do not see the engineer’s complete Outlook calendar, internal meetings, lunch breaks, leave, or other private calendar information.

The Scheduling Problem

A traditional appointment workflow may look something like this:

4More emails and calendar checks are required.
5The ticket remains unresolved while everyone searches for a suitable time.

This may seem minor for one ticket, but across dozens of appointments every week, the administrative overhead quickly adds up. Time Master removes that friction and gives both the service desk and the customer a faster path to resolution.

How Time Master Works

Time Master integrates with Microsoft 365 and allows engineers to offer selected appointment times without publishing their complete calendar.

1Open the service ticket.
The engineer identifies that a scheduled remote session, consultation, training session, or follow-up meeting is required.
2Select suitable appointment times.
The engineer chooses the dates, time slots, and meeting duration they would like to make available.
3Associate the booking with the ticket.
The engineer enters or selects the appropriate ticket reference so the appointment remains connected to the relevant support request.
4Generate the secure booking link.
Time Master creates a unique link that can be shared with the customer through the PSA, email, secure message, or another supported communication channel.
5The customer books an appointment.
The customer opens the link and chooses from the available time slots. No access to the engineer’s complete calendar is provided.
6Microsoft 365 completes the workflow.
The appointment is added to the relevant calendar, a Microsoft Teams meeting can be created, notifications are sent, and the booking is documented against the ticket.

Example: Scheduling an MFA Support Session

Scenario

Sarah from A1 Technologies submits a support request because she needs assistance configuring Multi-Factor Authentication.

James, the assigned technician, reviews the ticket and determines that the issue would be easier to resolve during a 30-minute Microsoft Teams session.

Instead of asking Sarah to suggest several times by email, James opens Time Master and:

  • Associates the booking with the MFA support ticket.
  • Selects a 30-minute meeting duration.
  • Offers four suitable time slots.
  • Generates a unique booking URL.
  • Shares the URL with Sarah through the ticket.

Sarah opens the link and selects the most convenient available time. She does not see James’ other meetings, personal appointments, lunch break, or broader calendar availability.

Once the appointment is confirmed, it is added to the Microsoft 365 calendar, the Microsoft Teams meeting is created, the engineer is notified, and the appointment details remain documented against the original support ticket.
